PF ECR Validation Errors: Why Your File Got Rejected (and How to Fix Each One)

Your ECR file looks correct. The format matches what you filed last month. And the EPFO Unified Portal still rejects it, with an error message that names a row number and not much else. This is the single most common frustration in PF filing - not understanding the format, but understanding what the portal is actually objecting to.

What changed: the revamped ECR system is stricter on purpose

EPFO's revamped ECR system, effective September 2025, changed the filing sequence in a way that matters here: the portal no longer lets you generate a challan while employee-detail errors exist. Under the older system, you could upload a file with some invalid rows and still get to challan generation, sorting out the bad rows later. Under the revamped system, validation failures block the process outright until every listed employee passes.

This is a real change in behavior, not just phrasing on the error screen - it's why a process that used to "mostly work" with a few flagged rows now stops entirely on the same kind of error.

Also worth knowing: from March 2026, the portal provides only summary-level ECR downloads, not the employee-wise breakdown it used to. If you need employee-wise historical ECR data, that has to come from your own records now - the portal itself won't hand it back to you after the fact.

The specific errors, and what each one actually means

"Member not found" / UAN not seeded or inactive. By far the most common rejection. This means the UAN listed for that employee either isn't activated, or isn't linked (seeded) to their Aadhaar in EPFO's system. Fix: the employee needs to complete UAN activation and Aadhaar KYC linking through the EPFO member portal before you can include them in that month's ECR - this isn't something you can correct from the employer side alone.

KYC not approved. Related but distinct from the above - the UAN may be active, but the KYC documents submitted haven't been approved by EPFO yet. There's no employer-side override; the approval has to come through before that employee's row will pass.

Wage limit exceeded / incorrect wage base. This is a data problem, not a portal problem - it means the EPF wage figure in your file doesn't match what the statutory wage ceiling rules expect, often from including or excluding the wrong salary components. Recheck exactly which components are going into the EPF wage calculation before re-uploading.

Duplicate member entries. The same UAN appears more than once in the file, usually from a copy-paste error or a row left in from a previous month's template. Each UAN should appear exactly once per ECR file.

Structure or delimiter mismatch. The file itself doesn't match the expected #~#-delimited format - a missing field, an extra delimiter, or a wrong column count anywhere in a row invalidates that row, and sometimes the whole file. This is a formatting problem specifically, distinct from the data-quality errors above.

Name mismatch. The employee name in your file doesn't match what's on record with EPFO for that UAN - even a minor difference (initials vs. full name, a transliteration difference) can trigger this. The name field should match EPFO's own record exactly, not necessarily what's on your payroll sheet.

The mistake that breaks next month's filing, not this one

If an employee resigns, mark their Date of Exit in the EPFO portal in the same month they leave. Skip this, and the following month's ECR throws validation errors for that employee - because the portal still expects an active contribution row for someone your file no longer accounts for correctly. This is a delayed-effect error: the mistake happens this month, but the rejection shows up next month, which makes it genuinely confusing to trace back.

What late or repeatedly-rejected filing actually costs

ECR filing and payment is due by the 15th of the following month. Missing it triggers interest at 12% per annum on the delayed amount, plus damages ranging from 5% to 25% of the arrears depending on how late the payment is. A February 2026 Karnataka High Court ruling reinforced that damages cannot go below 25% for delays of six months or more - a real, current signal that EPFO enforcement on this specific point isn't softening.

Repeated rejection-and-resubmission cycles matter here specifically because each cycle burns time against that same 15th-of-the-month deadline - a file that gets rejected on the 14th leaves very little room to diagnose, fix, and resubmit before penalties start accruing.

Reducing how often this happens in the first place

Most of these errors are catchable before upload, not just after rejection: confirming every UAN is active and KYC-approved, checking wage-base components against the statutory ceiling, and making sure no employee appears twice - all before the file ever reaches the portal.
